The Practice Transformation Assistant will provide administrative support for the Practice Transformation Program and work closely with the Coordinator as s/he provides training, technical assistance and coaching to member FQHC staff. The Assistant must be a self-starter, creative, highly organized, and comfortable working at various paces. This is a full-time, temporary, grant-funded position with benefits through June 2018, with a possible extension dependent on funding. The position is suitable for students or applicants wanting to gain non-profit experience and learn more about safety net healthcare providers in the State of Washington.


  • Develop and prepare program communications and materials, such as presentations, flyers, emails, etc. for internal and external meetings or training events
  • Organize and attend internal and external meetings and conference calls, including preparation and distribution of documents (agendas, meeting minutes, etc.)
  • Schedule and coordinate in-person and webinar training events for members
  • Develop and manage training evaluations and surveys
  • Manage the team’s travel arrangements
  • Attend monthly Department of Health (DOH) or quarterly Diabetes Network Leadership Team (DNLT) meetings as a proxy or when requested
  • Work with the program coordinator and the DOH to develop and distribute Request for Funding Applications (RFA) and assist managing grant subcontracts
  • Under guidance of the coordinator, develop and maintain clinical and quality best practices database
  • Manage program web content and relevant discussion forums
  • Manage Outlook distribution lists
  • Develop and distribute the clinical quality weekly newsletter and maintain member subscriptions
  • Coordinate Pharmacy committee meetings, take and distribute minutes
  • Assist with other WACMHC projects or tasks as directed


  • Associate’s degree in a relevant field (health or administration) OR 2+ years’ experience in project management and/or administrative support
  • Excellent written and verbal communication skills; ability to communicate to a varied audience
  • Excellent organization and time management skills
  • Proficiency in Microsoft Office Suite applications including Word, PowerPoint, Outlook and Excel
  • Ability to work independently and as part of a team
  • Willingness to travel in-state


  • Understanding of federal, state, and private grants
  • Experience in database maintenance
  • Experience in event planning and facilitation
  • Familiarity with GoToMeeting and GoToWebinar


  • Must be able to drive a motor vehicle safely.
  • Must possess a valid Washington State Driver’s License. Mileage and travel expenses reimbursed per WACMHC policy.
